Switching IT providers: a checklist for Sydney businesses
Plan the handover of accounts, access, backups and support responsibilities before your current service ends.

To switch managed IT providers, agree a handover plan with both providers, confirm your business controls its essential accounts, verify backups and schedule any changes. The transition is complete when critical services have been checked and staff know how to get help.
This checklist is for business owners and office managers preparing to change IT support. It helps you organise the conversation; the work and timing depend on your systems and current agreement.
1. Review your agreement and define what needs to improve
Check the notice period, renewal date, exit assistance and any services billed separately. List the problems you want the next provider to address: slow communication, unclear costs, recurring outages or gaps in security and backup coverage. Ask each prospective provider to explain its scope against the same list.
Separate the support agreement from internet, phone, software and hardware arrangements. Cancelling support should not accidentally cancel a service the business still needs. Confirm any contractual questions with the relevant provider before setting dates.
2. Build an account and documentation handover checklist
Identify the business owner for each account and who can authorise access changes. Arrange secure transfer of administrative access with multifactor authentication. Avoid sharing passwords in ordinary email or enquiry forms.
| Item | Check before handover |
|---|---|
| Domain names and DNS | Registrar, renewal details, business ownership, DNS records and authorised administrators. |
| Microsoft 365 or other cloud services | Tenant details, controlled by your business administrator access, licences, billing and provider permissions. |
| Devices and network | Device inventory, servers, firewall, wireless configuration, warranty details and network documentation. |
| Backups and recovery | What is backed up, where copies are held, retention, recovery access and the latest recovery test result. |
| Security tools | Endpoint protection, monitoring, multifactor authentication and who receives/responds to alerts. |
| Business applications | Suppliers, licences, support contacts, integrations and any dependencies on a server or service account. |
| Internet and phones | Account ownership, provider contacts, service details and any changes that require separate scheduling. |
| Open issues and projects | Unresolved tickets, known faults, upcoming renewals and work already agreed. |
3. Agree responsibilities, timing and a fallback plan
Name a business contact and a technical contact for each provider. Record who is responsible for support during the handover, which changes need approval and how an urgent issue will be escalated. Schedule changes around payroll, trading hours and other critical activities.
Before replacing monitoring or security tools, agree the order of removal and installation so coverage is maintained. Confirm recent backups and how to restore service if a change fails. Changing providers does not necessarily require moving your email, replacing hardware or migrating applications; assess each proposed change separately.
4. Verify the handover before closing it
- Test email, sign in, shared files, printing and critical to your business applications with representative staff.
- Check that backup jobs, monitoring and security alerts are reaching the responsible team.
- Confirm that staff know the new support number, email and escalation process.
- Review outgoing provider access and remove permissions that are no longer required after responsibilities transfer. Keep necessary audit records.
- Record remaining issues, owners and agreed next steps.
Common questions about changing IT providers
Can we keep our Microsoft 365 tenant?
A support provider change does not automatically require a new tenant. Establish who controls your existing tenant, subscriptions and administrator access. Ask the incoming provider whether any licence or partner relationship changes are needed and what effect they will have before authorising them.
How long does switching IT providers take?
There is no single timeframe. Contract notice, documentation quality, access, number of sites and any planned migrations affect the schedule. Request a written handover plan with dependencies rather than relying on an unqualified completion promise.
Will staff experience downtime?
Some handovers involve mainly support and access changes; others include work that can interrupt services. Ask for the expected impact, proposed maintenance window and fallback plan for each change. Do not assume that every transition is without disruption.
What should we compare in a new managed IT proposal?
Compare covered users and devices, support hours, onsite work, security and backups, project exclusions, licensing, escalation and response targets. Our managed IT pricing and scope guidance explains the questions to ask.
References for access and backup checks
Microsoft explains how to manage Microsoft 365 partner relationships and administrative access. Removing administrative roles does not by itself remove a partner relationship, so check access and subscription arrangements separately during the handover.
ASD's Australian Cyber Security Centre recommends testing restoration of systems, software and important data from backups. Include recovery checks in the handover plan rather than relying only on a successful backup-job notification.
